How to Get More Google Reviews and Respond to Negative Ones

Practical ways to collect more Google reviews, how reviews affect your ranking, and a guide to replying to negative reviews in a way that protects your brand.

One of the first things a customer looks at when choosing a business for the first time is its Google reviews. The star rating, the number of reviews and how recent they are directly affect the decision. And reviews don’t just build trust; they also affect where you appear on the map.

Why do reviews matter so much?

When ranking businesses in local search, Google looks at the number of reviews, the rating and whether they keep coming in. A business with a 4.8 rating and 300 reviews usually looks more trustworthy than one with a 4.9 rating and 12 reviews. A profile whose latest review is two years old raises the question “is this place still open?”

1. Make asking for reviews a habit

Most happy customers don’t write a review simply because nobody asked. Ask with a short, friendly sentence when the service is finished, when the bill is paid or when the product is delivered. The best moment is when the customer expresses their satisfaction.

2. Make leaving a review a single tap

Get the link that opens the review screen directly from your Google Business Profile. Add it to your WhatsApp messages, emails and receipts; put a QR code leading to it on tables, at the till or in packages. Customers shouldn’t have to search for your business.

3. Don’t offer rewards for reviews

Asking for reviews in exchange for discounts or gifts breaks Google’s rules and can get reviews removed. Picking out only the customers who will write positive reviews is against the rules too. Ask everyone for an honest review.

4. Reply to every review

Write a short, personal thank-you to positive reviews; mention a detail the customer brought up instead of using stock phrases. Replying shows you value the customer and leaves a good impression on everyone else reading your profile.

How to respond to a negative review

A negative review can become a chance to build trust, depending on how you respond. Your reply will be read not only by the reviewer but by everyone who looks at your profile.

  • Be quick but calm: Reply within a few hours, but never while angry.
  • Thank them and apologise: Even if you weren’t at fault, say you’re sorry about the bad experience.
  • Don’t argue: Debating who was right in public puts you in a difficult position.
  • Take it private: Offer to resolve it one-to-one by sharing a phone number or email.
  • Actually fix the problem: If the same complaint keeps coming, the issue isn’t the reply, it’s the process.

Fake or rule-breaking reviews

You can report reviews written by someone who was never your customer, or ones containing insults, through your Google Business Profile. But a review can’t be removed just because it’s negative; the best answer is a steady flow of genuine, positive reviews.
